This privacy policy explains how Prompthon Community collects, uses, stores, and shares information when people browse the public site, register for events, join community programs, and use authenticated dashboard features.

This policy is written for the current Prompthon Community product scope: public event discovery, registrations, profile activity, event recap workflows, and related community operations.

1. Information we collect

Prompthon Community may collect account details such as name, email address, Clerk identity identifiers, and linked handles that connect a participant to community activity. We may also collect event registration details, attendance state, check-in records, submitted forms, profile preferences, and content that a participant chooses to contribute through the platform.

We also collect technical and operational data such as device or browser information, timestamps, page and route activity, referral data, and analytics signals that help us understand how the site and community programs are being used.

2. How we use information

We use information to operate the community, including authenticating users, managing event registrations, tracking attendance, generating community profiles, reviewing activity history, supporting moderation and admin workflows, and preparing community communications such as event recap drafts.

We may also use information to improve the product, monitor reliability, prevent abuse, investigate incidents, measure participation, and understand which events, learning paths, and community programs are most useful.

3. Event media and recap content

Prompthon Community may prepare post-event summaries, recap drafts, website updates, newsletters, and social content based on event details, approved media, speaker topics, and participation outcomes. Media permissions and publicity preferences collected during registration are intended to guide how recognizable participant content is used.

If an attendee indicates that they do not want recognizable photos or videos featured in promotional materials, Prompthon will make reasonable efforts not to intentionally feature that attendee in those materials, while recognizing that event environments may include group settings and background capture.

4. Sharing and disclosure

We may share information with service providers and infrastructure partners that help us run authentication, hosting, storage, analytics, communications, and event operations. We may also disclose information when necessary to comply with law, enforce our terms, protect the community, or respond to valid safety or fraud concerns.

Prompthon Community does not sell personal information in the ordinary sense of selling participant records for independent third-party marketing use.

5. Retention

We retain information for as long as it is reasonably needed to operate the service, preserve community history, maintain event and activity records, support security reviews, comply with legal obligations, and resolve disputes. Different categories of information may be retained for different periods depending on operational and legal requirements.

6. User choices and requests

Users may be able to update certain profile details, edit linked account settings, or change registration-related choices through the product. Additional privacy requests, such as access, correction, or deletion requests, should be handled through Prompthon Community support channels once those channels are finalized for production use.

7. Security

Prompthon Community uses reasonable administrative, technical, and organizational safeguards to protect data, but no storage, transmission, or authentication system can be guaranteed to be completely secure. Users should avoid sharing sensitive information through fields that are not specifically intended for it.

8. International use

Prompthon Community programs may involve participants, collaborators, or service providers in multiple regions. By using the service, users understand that information may be processed and stored in jurisdictions other than their home region, subject to applicable law and service-provider infrastructure choices.

9. Policy changes

Prompthon Community may revise this policy as the product, event workflows, integrations, and legal obligations evolve. The published version should show its effective or last-updated date so participants can understand when material changes were made.
